This Privacy & Cookies Policy (the “Policy”) explains how Labyrinth Events Limited and Labyrinth Festivals Ltd (“Labyrinth”, “we”, “us”, “our”) collects, uses, stores and shares information about you when you interact with our websites, platforms or services (collectively, the “Platforms”).

We take your privacy seriously and are committed to protecting it. Please read this Policy carefully. By using our Platforms, you acknowledge that you have read and understood it.

1. INFORMATION WE COLLECT

We may collect and process the following categories of personal data:

1.1 Information you provide directly

  • Registration details: name, email address, date of birth, gender and mobile number when you sign up to our platforms or mailing list.

  • Purchase details: name, billing address, payment information and order history when you buy tickets or products.

  • Correspondence: records of any communications you send us, including support requests or competition entries.

  • Survey responses: if you choose to take part in any research or feedback surveys we run.

1.2 Information collected automatically

  • Technical data: IP address, browser type, operating system, session ID and device identifiers when you visit our Platforms.

  • Usage data: pages visited, traffic data, referral sources, time spent on pages and other behavioural data.

  • Location data: approximate location inferred from your IP address.

  • Cookie and tracking data: see Section 3 for full details.

1.3 Information from third parties

  • Ticketing partners: if you purchase tickets through Resident Advisor, DICE, Skiddle or Universe, we may receive your name, email address and ticket purchase history from those platforms.

  • Social media: if you follow or interact with our social media accounts, we may receive aggregated data about your account (such as age range, general interests and location) as provided by the relevant platform.

2. HOW WE USE YOUR INFORMATION

We use the personal data we collect for the following purposes:

  • To process ticket purchases and fulfil orders.

  • To send you event information, your guest tickets and key event updates.

  • To send you marketing communications about our events, where you have consented or we have a legitimate interest in doing so.

  • To improve and personalise your experience on our Platforms.

  • To conduct analytics and produce aggregated, non-identifiable reports on Platform usage.

  • To prevent or detect fraud or misuse of our Platforms.

  • To comply with legal obligations.

The legal bases we rely on are:

  • Contract performance – to process your ticket purchases and deliver services you have requested.

  • Legitimate interests – to operate our business, improve our Platforms, and send direct marketing to existing customers (you can opt out at any time).

  • Consent – for email marketing sign-ups and cookies that require consent (see Section 3).

  • Legal obligation – where required by law.

3. COOKIES

Cookies are small text files placed on your device when you visit a website. We use cookies and similar technologies to make our Platforms work properly, to understand how they are used, and to personalise your experience.

3.1 Types of cookies we use

  • Essential cookies: required for the Platforms to function (e.g. session cookies that enable the checkout process). These cannot be disabled.

  • Analytics cookies: we use Google Analytics to understand how visitors use our site (page views, session duration, referral sources). This data is aggregated and anonymous.

  • Marketing cookies: we may use cookies to re-target visitors with relevant advertising on third-party platforms such as Meta and Google.

  • Social media cookies: set by third-party platforms (e.g. Meta, X/Twitter, YouTube) when you interact with embedded content on our Platforms.

3.2 Managing cookies

When you first visit our Platforms, you will be asked to consent to non-essential cookies via our cookie banner. You can change your preferences at any time by adjusting your browser settings or using the cookie settings link on our website. Please note that disabling certain cookies may affect the functionality of our Platforms.

4. DATA SHARING

We will not sell your personal data. We share your data only in the following circumstances:

4.1 Ticketing partners

When you purchase tickets through our ticketing partners, your data will be processed by them under their own privacy policies. Our current ticketing partners are:

  • Resident Advisor – residentadvisor.net/privacy

  • DICE – dice.fm/privacy

  • Skiddle – skiddle.com/terms/privacy.php

  • Universe – universe.com/privacy

4.2 Service providers & data processors

We use trusted third-party processors to help us operate our Platforms. These processors act on our instructions and are contractually bound to protect your data:

  • Email marketing: Mailchimp (Intuit Inc.) and Klaviyo – used to send marketing communications and manage subscriber lists.

  • Cloud storage: Dropbox.

  • Web analytics: Google Analytics (Google LLC).

  • Social media platforms: Meta (Facebook/Instagram), X (formerly Twitter), LinkedIn, YouTube.

4.3 International transfers

Some of our third-party processors are located outside the UK and European Economic Area (EEA), including in the United States. Where we transfer data internationally, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) or the UK International Data Transfer Agreement (IDTA), as required under UK GDPR.

4.4 Legal requirements

We may disclose your data where required to do so by law, or to protect the rights, property or safety of Labyrinth Events, our customers or others.

5. DATA RETENTION

We retain your personal data only for as long as necessary for the purposes set out in this Policy. Specifically:

  • Mailing list subscribers: your data is retained for as long as you remain subscribed. You can unsubscribe at any time.

  • Ticket purchasers: we retain purchase records for up to 7 years to comply with financial and legal obligations.

  • Event guests: contact details are retained for up to 12 months after the event, unless you have subscribed to our mailing list.

  • Website usage data: anonymised analytics data is retained for up to 26 months.

After these periods, your data will be securely deleted or anonymised.

6. DATA SECURITY

We maintain appropriate technical and organisational measures to protect your personal data against accidental or unauthorised access, use, alteration, disclosure or loss. These measures include device encryption, firewalls and access controls restricted to authorised Labyrinth Events personnel.

Please be aware that the transmission of data over the internet is not entirely secure. While we do our best to protect your data, we cannot guarantee the security of data transmitted to our Platforms; any transmission is at your own risk.

7. YOUR RIGHTS

Under UK & EU GDPR, you have the following rights in relation to your personal data:

  • Right of access: to request a copy of the personal data we hold about you.

  • Right to rectification: to ask us to correct inaccurate or incomplete data.

  • Right to erasure: to ask us to delete your data, subject to certain legal exceptions.

  • Right to restriction: to ask us to restrict how we process your data in certain circumstances.

  • Right to portability: to receive your data in a structured, machine-readable format.

  • Right to object: to object to processing based on our legitimate interests or for direct marketing.

  • Right to withdraw consent: where we rely on consent, you can withdraw it at any time without affecting the lawfulness of prior processing.

To exercise any of these rights, please contact us at info@labyrinthevents.com. There is no charge for most requests, though we may charge a reasonable fee or decline manifestly unfounded or excessive requests.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

8. MARKETING COMMUNICATIONS

We will only send you marketing communications where you have opted in (e.g. by subscribing to our newsletter) or where we have a legitimate interest in contacting you as an existing customer.

You can unsubscribe from our marketing emails at any time by clicking the “Unsubscribe” or “Update your preferences” link in any email we send you, or by emailing us at info@labyrinthevents.com.

9. CHILDREN

All Labyrinth Events events are strictly 18+. Our Platforms are not directed at, and we do not knowingly collect personal data from, individuals under the age of 18. If we become aware that we have collected data from someone under 18 without appropriate consent, we will take steps to delete it promptly.

10. LINKS TO OTHER WEBSITES

Our Platforms may contain links to third-party websites and applications. This Policy applies only to our own Platforms. We are not responsible for the privacy practices of third-party sites and encourage you to read their privacy policies before submitting any personal data.

11. US RESIDENTS

This Policy also applies to individuals located in the United States. We do not sell or share personal data as defined under applicable US state privacy laws (including CCPA/CPRA).

US residents may request access to, correction of, or deletion of their personal data by contacting us at info@labyrinthevents.com

Personal data may be processed and stored outside of the United States. Where this occurs, we ensure appropriate safeguards are in place

12. CHANGES TO THIS POLICY

We may update this Policy from time to time to reflect changes to our business practices or legal requirements. Any changes will be posted on this page with an updated “Last updated” date at the top. Where changes are material, we will notify subscribers by email where appropriate
